The job is done. The invoice sits.
Nobody is paid to chase it every week, so it waits until someone remembers. A finished job that's never billed is work you do for free.
Finish the Job Without Creating More Office Work
When you mark a job Complete from your phone, at the job site or on the drive home, I start the payment follow-ups: sending the invoice, sending a payment link, sending a reminder if payment is still outstanding, and recording the payment against the customer record.
You choose the follow-up schedule. I handle the routine reminders.
Spend Less Time Chasing Unpaid Invoices
Without automatic follow-ups, someone has to keep checking: is the invoice out, has the customer paid, has anyone followed up, when should we contact them again.
I keep that information connected to the job and send scheduled payment reminders when an invoice stays unpaid.
Once the payment is confirmed, the reminders stop and the review request goes out.
Paid Straight into Your Own Bank Account
Your customer pays by EFT, directly into your business bank account. The money does not pass through an account of mine first.
I set up a business-grade EFT account for you. A personal account caps each transfer much lower, so a large job gets paid in pieces.
Each EFT transfer carries up to $10,000. A job priced above that settles as more than one transfer, each one recorded against the same job.
On a Shared Regional Website, my fee is split out of that same EFT at the moment your customer pays. Your share goes to your account and my share goes to mine.
An EFT payment needs no separate bill from me, and I am paid only when you are. A deposit and a final balance each split the same way as they clear. See Pricing for the rate.
Paid in Cash at the Door
Some customers hand you cash when the job is done.
Record the cash payment from your phone, and the job is marked paid the same as an EFT. The reminders stop and the review request goes out.
Cash can't be split as it changes hands. On a Shared Regional Website, my fee on cash payments goes on one bill at the end of the month, at the same rate.
What You Get
- Invoice on Completion: marking a job Complete from your phone sends the invoice, with Ontario HST on its own line, and a payment link.
- Payment Reminders: an unpaid invoice gets a reminder on the schedule you choose.
- Direct EFT Deposit: I set up a business-grade EFT account, so each payment goes straight into your own bank account, up to $10,000 per transfer.
- Split Payments: on a Shared Regional Website, my fee comes out of the customer's EFT payment as it clears, so it needs no separate bill from me.
- Cash Payments: record a cash payment from your phone and the job is marked paid, the same as an EFT.
- One Record: every payment is recorded on the same customer as the quote and the job.
- Review Request: once the payment is confirmed, the review request goes out.
Common Questions
Who decides when payment reminders go out?
You do. You choose the reminder schedule, and I send each reminder until the invoice is paid.
What if a job costs more than $10,000?
Each EFT transfer is capped at $10,000, so a larger job is paid in more than one transfer.
Each transfer is recorded against the same job, so the customer record shows what has been paid and what is still owed.
Do automatic payment reminders replace my staff?
No. Automatic follow-ups handle the routine office work, such as invoices, reminders and notices.
Your staff still talks to customers, answers questions about the bill, and handles anything that needs human judgment.
Do automated emails and texts look like bulk marketing messages?
No. I send emails from the same domain name as your website, and leave out the images and other fluff that triggers spam filters. Both make it much less likely an invoice or reminder lands in spam.
If you want to send bulk marketing messages, I suggest using a different domain name for that to prevent blacklisting of your business emails.
The Invoice Goes Out the Day the Job Is Done
Nobody has to remember to send it or call twice to ask for it. The reminder goes out on your schedule, and the money lands in your own bank account.
Once the payment clears, the review request goes out while the job is still fresh. Before the job, the customer books their own visit, so the work gets on the calendar without phone tag.
